Remarketing Administrative Assistant

Job Description:

Summary:

Responsible for all administrative duties involved with the vehicle remarketing process. Monitor and update several internal databases that are utilized to track each vehicle throughout the remarketing lifecycle.

Primary Responsibilities:

Must be able to perform all of these:

  • Administer the process of updating remarketing database (SubaruSOLD) to reflect the movement of all vehicles, record all sale transactions and the timely release of title documentation and processing of payments.
  • Daily monitoring of all functions related to the SubaruSOLD online remarketing channel to ensure that available inventory is immediately available for turn in and purchase.
  • Coordinate with SOA regional offices, Zones, Corporate Vehicles and retailers to ensure that all vehicles are processed through all remarketing channels.
  • Tracking and monitoring of all auction locations full process of in-transit vehicles listed on web-based portal ("OVE"). Includes listing, updating new condition reports and pulling from OVE prior to scheduled lane sales.
  • Responsible for daily monitoring of vehicle inspections, ensuring all items are returned with each vehicle and damages and missing equipment are addressed prior to releasing for sale to retailers.
  • Review all monthly invoices received from outside service providers for accuracy prior to submission to accounts payable.
  • Coordinate transportation on all vehicles released to auctions. Work closely with Open Lane, Ready Auto transportation, regions, zones, corporate vehicles and auction locations to ensure that all vehicles are transported within allowable time standards. Address and resolve any issues related to transportation, pick up, or delivery.
  • Assist auction locations and retailers with requests for missing items, lost documentation, duplicate titles, Power of Attorneys, reassignments, etc.
    Additional Responsibilities:
    • Provides assistance to Remarketing Inventory Analyst
    • Annual update of all model codes and vehicle description to web-base channels.
    • Assist in other Subaru Financial Group work as requested by National Remarketing Manager.
      Required Skills and Abilities:
      • Oracle,"Qlik" system expertise/training for generating reports.
      • Proficiency in Microsoft Outlook, Excel, Word, Access and Adobe PDF applications.
      • Understanding of SOA used inventory remarketing processes.
      • Excellent planning and organization skills as well as attention to detail and ability to adapt to change.
      • Excellent verbal and written communication skills.
      • Knowledge of Subaru products and features and the vehicle life cycle is helpful.
      • Tact and diplomacy skills are required when interacting with difficult customers and dealership personnel.
        Education/Experience:

        Bachelor's degree and 2-4 years of experience.
