Summary: The Urban Health Institute s administrative coordinator
will manage the flow of patients, providers, staff, and visitors
through the Cooper Advanced Care Center's multipurpose and
administrative suites. He/she is responsible for the efficient
daily operations for the Institute and works closely with
physicians, management team, and staff to meet operational
Responsible for environment of care in assigned space including
Joint Commission and emergency preparedness, protection of PHI and
HIPPA compliance, supply inventory & ordering, and facilities
Serve as UHI operations ambassador for special programs and
population health initiatives including Addiction Medicine, Group
Medical Visits, and Hospital Discharge Clinic; communicate accurate
messaging about programs and schedule patients per program
protocols when appropriate; ensure space is prepared appropriately
for programmatic work.
Chief problem solver for assigned clinics to include staff
schedules, space allocation, and throughput management. Use data
and reports to inform responses and protocol development in
collaboration with team leaders.
Attend and contribute to institute operations meetings representing
assigned programs and clinics to ensure proper resource allocation
and administrative attention. Solicit feedback and input from
practice staff and providers.
Perform routine office duties including answering the telephone,
word processing, scheduling meetings, maintaining office supplies,
copying, faxing and preparing and processing invoices for
A strong customer service ethic and good organizational and
communications skills a must.
Discretion and judgment is required when screening important
visitors and telephone calls, relaying confidential information and
planning and organizing workload.
This position includes interacting with all levels of management
Performs special projects and supervision of employees as
Scheduled Days / Hours: 830a-5p;
Education: High school diploma; Associate's degree or technical
training diploma/certificate highly preferred.
Experience: Excellent oral and written communication skills,
computer literate and have a good working knowledge of Microsoft
Word, Access, PowerPoint and Excel; EPIC, IDX/ Flowcast, Navinet,
2+ years of health care administration or direct patient care in
outpatient setting (required)
Some experience with population health initiatives preferred
Required License/Certifications/ Registration: Bilingual (Spanish)
required; current clinical certification or license (ex NJ LPN or
Other Qualifications: Interest in new models of healthcare
delivery; commitment to serving vulnerable patient populations
