Job Description:
SUMMARYProvides general accounting and tax return-related
support to the tax team for all sales and use tax compliance and
audit functions. Provides all computer-related system support
including, but not limited to, Microsoft Outlook, Word, Excel,
and/or PowerPoint; accounting invoice systems (including Oracle
WebCenter); and tax compliance systems (Intelliforms and Oracle
Financials applications). Maintains and reviews department's
billing and budgeting, as appropriate. Provides minor
administrative services to ensure effective and efficient tax
operations.WORK SCHEDULE: 29 hours per weekPRIMARY
RESPONSIBILITIESPrepares government-mandated audit records by
running an advanced accounts payable report to sustain over $50
million in sales tax; this compliance effort prevents additional
tax, interest, and penalties.Maintains Urban Enterprise Zone (UEZ)
compliance program. Tracks vendors who claim an exemption and
analyzes their purchases throughout the year. Maintains the
business-to-business sales tax exemption cap to the first $100,000
of purchases with a savings of $6,625.00 using UZ-5 exemption
certificate. Monitors and keeps detailed records of the first
$100,000 of annual qualified taxable purchases. After the first
$100,000 of qualified taxable purchases, puts a process in place to
stop the use of the exemption certificate to pay sales and use on
all taxable purchases made for the remainder of the calendar year.
Assists the Sales and Transactional Tax Manager on an annual basis
with the preparation of the mandatory annual report.Exemption
Certificate Maintenance: Prepares and provides properly completed
executed exemption certificates to vendors. Centralizes, maintains,
and stores exemption certificates electronically to produce for any
future sales tax audits.Runs and reviews sales tax compliance
systems, Oracle financial application systems, and Oracle Web
Center to gather evidence for sales and use tax audits. Provides
research support to Sales and Transactional Tax Manager for state
tax audits. (Failure to provide invoice and supporting documents to
state tax officials could result in large penalties, interest, and
fraud charges.)Assists Sales and Transactional Tax Manager with the
preparation and filing of approximately 1,500 monthly sales and use
tax returns.Tracks and records sales and use tax notices received
and submits for payment.Sales and Use Tax Compliance: Maintains
responsibility for the electronic filing of sales and use tax
returns for Subaru Leasing Corporation and Subaru Auto Leasing on a
monthly, quarterly, and annual basis with each state's electronic
online tax system, ensuring timely filing. After the return is
web-filed, submits all ACH payment requests to Accounts Payable for
payment. Once the ACH payments are entered by Accounting, reviews
for accuracy and gives final approval to Accounting to release the
payment to states/jurisdictions.Requests payments for all state
sales and income tax estimates and returns, ensuring that all state
checks are coded and applied to the corresponding returns. Verifies
that the Electronic Funds Transfer (EFT) payments have been
requested and confirms that the EFT payments have been accurately
applied.Reviews Tax department's General and Administrative
(G&A) expense budget, comparing the operating expense variance
report against the Tax group's expenses. Provides the group with
summary and analysis of expenses. Makes the proper accounting
changes if expenses are incorrectly reported.Verifies vendor
payments with the corresponding vendor contracts.Maintains the Tax
group's electronic and hard copy tax law library and tax
calendar.Keeps current and up-to-date tracking of sales tax
licenses for current registration. (Failure to keep current could
result in the state banning Subaru and its subsidiaries from
conducting business in that state.)REQUIRED SKILLS AND
ABILITIESExcellent problem-solving skills.At least two (2) years of
accounting experience utilizing skills in general ledger, financial
statements, and sales and use tax regulations.Working knowledge of
legal terms.Working knowledge of Accounting and Tax Compliance and
audit operations.Highly proficient in Microsoft Office Suite skills
(including strong degree of proficiency in Outlook, Word,
PowerPoint, and Excel).Ability to run appropriate accounting
reports in Oracle.Ability to use Inspyrus Invoice system for all
tax vendors.Ability to exercise job-level duties with limited
supervision.Ability to function well in a fast-paced
environment.Ability to navigate internet to obtain needed
information or perform basic legal research.Strong organizational
skills with the ability to prioritize and multi-task as needed and
take flexible approach to assignments as shifting priorities
occur.Excellent and professional interpersonal and communication
skills, both oral and written; comfortable communicating with all
levels of the organization and external vendors when
necessary.Ability to translate accounting data into government
mandated reports and audit inquiries .EDUCATION/EXPERIENCE: AA/AS

NonexemptSALARY RANGE: The recruiting base salary range for this
full-time position is $54,200 - $77,300. Within the range,
individual pay is determined by factors, including job-related
skills, experience, and relevant education or training.
